Viking Overland – Booking Terms & Conditions

These Terms & Conditions apply to all bookings made with Viking Overland (“we”, “us”, “our”). By confirming a booking, you agree to the terms outlined below.

1. Booking & Deposit

1.1 A booking is confirmed once:

  • A completed booking form has been submitted; and

  • The required deposit has been received.

1.2 A non-refundable deposit of £300 per rider is required to secure a place on any tour.

1.3 Tours are limited to 6–8 riders. Places are allocated strictly on a first-come, first-served basis.

2. Balance Payment

2.1 The remaining balance must be paid no later than 8 weeks before the tour start date.

2.2 If the balance is not received by the due date, we reserve the right to cancel the booking and retain the deposit.

2.3 Bookings made within 8 weeks of departure require full payment at the time of booking.

3. Cancellations by the Rider

3.1 Deposits are non-refundable.

3.2 If you cancel:

  • More than 8 weeks before departure: deposit retained.

  • 4–8 weeks before departure: 50% of the total tour price payable.

  • Less than 4 weeks before departure: 100% of the tour price payable.

3.3 We strongly recommend that all riders obtain appropriate travel insurance covering cancellation.

4. Cancellations by Viking Overland

4.1 If we cancel a tour due to insufficient numbers or circumstances beyond our control, you will be offered:

  • A full refund; or

  • A transfer to a future tour date.

4.2 Viking Overland is not liable for additional personal expenses (e.g., ferry bookings, fuel, accommodation booked independently).

5. Rider Responsibility & Suitability

5.1 Riders must:

  • Hold a valid full motorcycle licence appropriate for their machine.

  • Ensure their motorcycle is road legal, insured and in good mechanical condition.

  • Wear appropriate protective riding gear at all times.

5.2 Viking Overland reserves the right to decline or remove any rider whose behaviour is unsafe, aggressive, disruptive or inappropriate for group riding. No refund will be issued in such circumstances.

6. Route Changes & Weather

6.1 Routes may be adjusted due to:

  • Weather conditions

  • Road closures

  • Safety considerations

6.2 Such adjustments do not constitute grounds for refund.

7. Liability

7.1 Motorcycle riding carries inherent risk.

7.2 By booking, riders accept full responsibility for:

  • Their own safety

  • Their motorcycle

  • Personal insurance

7.3 Viking Overland accepts no liability for loss, damage, injury or delay except where required by law.

8. Travel Insurance

Comprehensive travel insurance covering:

  • Motorcycle touring

  • Medical cover

  • Repatriation

  • Cancellation

is strongly recommended and remains the rider’s responsibility.

9. Force Majeure

We are not liable for cancellation or alteration caused by events outside our control, including but not limited to:

  • Extreme weather

  • Natural disaster

  • Government restrictions

  • Industrial action

  • Border closures

10. Governing Law

These terms are governed by the laws of England and Wales.
